The Process: Step by Step
Initial Inquiry
You reach out with your event date, guest count, venue, and a rough idea of what you're looking for. Within 24 hours, I follow up with a quick phone or email exchange to get the specifics — bar type, timeline, any special requests. No sales pressure. Just information gathering.
Custom Quote
Based on your details, I put together a flat-rate quote that covers everything: bartending staff, setup and breakdown, equipment, and any add-ons you've discussed. No per-head pricing, no mystery fees. You know exactly what you're paying before you sign anything.
Booking & Contract
A signed agreement and deposit holds your date. The contract covers scope of service, timeline, alcohol responsibilities, and cancellation terms. If you're supplying your own alcohol, I walk you through exactly what to purchase and in what quantities — no guesswork.
Menu Planning
2–4 weeks before your event, we finalize your cocktail menu. If you want a signature drink, this is where we design it. I'll send you a tasting recommendation if you want to sample ingredients beforehand. For large events, we discuss batching strategies to keep service fast during peak hours.
Day-Of Setup
I arrive 1.5–2 hours before bar service begins. Setup includes the bar itself, all equipment, ice management, garnish prep, and bar display styling. By the time your guests arrive, everything is ready and the bar looks the part. You won't hear from me during setup unless there's a legitimate issue that requires your input — which almost never happens.
Event Service
During the event, the bar runs itself. I manage the pace, monitor consumption, handle any tricky guest interactions professionally, and keep the space clean and organized throughout. You enjoy your event. That's the whole point.
Breakdown & Cleanup
At the end of bar service, I break down all equipment, clean the bar area, properly dispose of waste, and leave the space exactly as I found it. Leftover alcohol (if you purchased) stays with you. Typically 45–60 minutes for full breakdown at most events.
Questions to Ask Before You Book
Not all mobile bartenders operate at the same standard. Here's what to ask any bartender you're considering:
- Are you licensed and insured? This is non-negotiable. Most venues require proof of liability insurance from outside vendors.
- Are you ServSafe or alcohol-service certified? Certifications like ServSafe Food Handler, TIPS, or Florida's equivalent show that the bartender understands alcohol service responsibility.
- Do you purchase alcohol, or do I? Some bartenders are fully stocked; others require the client to purchase. Both models work — but you need to know upfront.
- What does your flat rate include? Setup time, breakdown, equipment, and travel should all be spelled out.
- How many events do you take per weekend? A bartender who's working three events on the same day is not giving your event full attention.
Red flag: If a mobile bartender can't give you a clear, itemized quote within 48 hours of your initial inquiry, that's a sign of how they'll communicate leading up to your event. Professional bar service is organized. The quote process should reflect that.
What You're Responsible For
Every vendor relationship has two sides. Here's what you'll typically need to handle as the client:
- Purchasing alcohol (if not included in the package)
- Confirming final guest count at least one week out
- Providing a clear setup location and any access codes or vendor instructions from the venue
- Communicating timeline changes promptly (ceremony running late, cocktail hour shift, etc.)
