How to Plan the Perfect Wedding Bar in Central Florida

I've poured at a lot of weddings across Central Florida — Orlando, Winter Park, Clermont, Kissimmee, out toward the Space Coast. The bar questions are mostly the same everywhere, but planning one here has a few wrinkles that people from out of state don't see coming.

Mostly the heat. And the rain. We'll get to the rain.

Start with the venue question

Before anything else, ask your venue this exact question: "are we required to use your bar, or do you allow licensed outside bar vendors?"

The answer is "outside is fine" far more often than people assume. Venues care about risk, and once they see a certificate of insurance naming them as additional insured, most of the resistance evaporates. I've ended up a preferred vendor at places that started out sounding like a no.

Get that answered before you fall in love with a bar setup you can't have.

The heat is a real planning input

An outdoor Florida wedding between roughly May and September is hot in a way that changes your bar.

• People drink more, and earlier. That first hour hits harder than the math suggests.
• Ice melts faster than you've budgeted for. 1.25 lbs per guest is the floor, not the target.
• Water matters. A hydration station isn't a luxury at a July wedding, it's the thing that keeps your guests upright.
• Light drinks outsell heavy ones. A spirit-forward signature that kills in November sits untouched in August.

The rain plan, and a story

Afternoon storms here are not a maybe. From June through September you should assume one is possible and decide in advance what happens.

At Brianne's wedding it went from brutally hot to an absolute downpour, and the couple wanted the bar to stay outside. So I stood under a patio umbrella while guests hollered their orders from the doorway, then sprinted out one at a time to grab the drink and run back in. Honestly it was hilarious to watch, and nobody went thirsty.

It worked because we'd talked about it beforehand. What doesn't work is figuring it out at 4pm while it's already raining. Ask your venue where the bar moves to, tell your bartender, and then forget about it.

When to book

Three to six months out for most dates. Longer for a Saturday in peak season, and considerably longer for anything in December.

If your date has any flexibility at all, mid-week is wide open almost year round and noticeably cheaper — not just for me, for most of your vendors.

Who else you'll want

The bar doesn't exist in isolation, and the weddings that run smoothly are the ones where the vendors actually talk to each other.

Good caterers make my job easy — when Danny and Candice from Done Wright Culinary are handling food, they tell me when dinner's landing so I can pull the bar back and then hit it again after. That kind of coordination is invisible when it works and very visible when it doesn't.

The order I'd do it in

• 6–12 months: venue booked, and the outside-vendor question answered.
• 3–6 months: book the bar and your other key vendors.
• 6–8 weeks: build the cocktail menu, confirm the timeline.
• 3–4 weeks: alcohol order based on real RSVPs, not the optimistic count.
• 1 week: final headcount, load-in time, rain plan confirmed.
